VANDERBILT DIVINITY SCHOOL TRAVEL INFORMATION FOR FACULTY, STAFF, AND STUDENTS

Domestic Travel:

International Travel:

  • Regardless of whether you are booking domestic or international travel, it is recommended that all faculty, staff, and students review current  Health and Safety Protocols .
  • All Vanderbilt Divinity School Faculty and Staff are required to submit a Pre-Authorization for Travel form prior to travel.   Once approved, the faculty and/or staff may proceed with booking travel through Concur.  For T+P Fellows in the Graduate Department of Religion, please submit a T+P Pre-Authorization Travel Form prior to booking any travel. 
  • It is recommended that all faculty, staff, and students familarize themselves with the  Vanderbilt University Travel and Business Expense Policy and to check frequently for any updates.
  • Faculty, Staff, and Students should familiarize themselves with the Office of Global Safety .  The Office of Global Safety offers the following:

    • provide dedicated 24/7 safety-related guidance and assistance for members of the VU community who are away on VU-sponsored travel
    • respond to emergency and crisis situations abroad and connect travelers to relevant on-campus resources to ensure continuity of care and response
    • review travel plans for high risk destinations and/or when there is a significant health or safety concern
    • work with travelers to provide location specific risk assessments and to create risk mitigation plans
    • oversee the Vanderbilt travel registration process of all VU-sponsored student travel (undergraduate, graduate, and professional students)
    • coordinate the use of Vanderbilt’s international health insurance plan for travelers abroad
    • monitor relevant security updates and alerts from Vanderbilt’s international security provider and relevant government agencies
    • provide individualized health and safety advising and travel consultations for faculty, staff, and all students on issues including mental health support, resilient travel, identities abroad, continued care plans, etc.
    • consult on pre-departure orientations and trainings for groups across the university
    • gather resources from across the university, peer institutions, and government agencies to prepare members of the VU community for travel
  • It is highly recommended that you register with the embassy of your host country. US citizens will register with the Department of State’s Smart Traveler Enrollment Program.
  • Students who are traveling abroad independently are required to register their travel, a process which includes purchasing Vanderbilt-approved international health insurance and registering travel with the university’s travel assistance partner. (Students studying abroad through the Global Education Office are automatically registered.)


All international travelers at Vanderbilt should make the following three health- and safety-related preparations before leaving Vanderbilt:

  1. Ensure you have coverage from Vanderbilt’s international health insurance;
  2. Arrange for a travel health consultation with a medical provider;
  3. Register your travel with Vanderbilt’s travel assistance partner. Faculty, staff, and students making flight arrangements through the university’s travel agency are automatically enrolled.
